These Terms of Service (“Terms”) govern your access to and use of StatusFlow—our website, web application, APIs, and related features (collectively, the “Services”). Please read them carefully. By accessing or using the Services, you agree to be bound by these Terms.
These Terms are between you and StatusFlow (“we,” “us,” “our”). If you use the Services on behalf of an organization/company, you represent and warrant that you are authorized to accept these Terms on its behalf and that the organization agrees to be bound by them.
Our Privacy Policy explains how we collect, use, and protect your information. It is not part of these Terms, but you should read it to understand your choices.
These Terms describe:
If there is a conflict between these Terms and any service-specific documentation or policies we publish in the Services, the latter will control for that specific service or feature.
You must be at least the age of majority in your province/territory (or have valid parental/guardian consent where permitted by law) and capable of forming a binding contract. If you allow a minor to use the Services, you are responsible for that minor’s activity.
StatusFlow is not intended for individuals under 16. Do not use the Services if you are under 16.
You may need an account to use all or part of the Services. You agree to:
You are responsible for all activities that occur under your account, except to the extent caused by our breach of these Terms or applicable law.
A. Providing the Services
StatusFlow enables you to organize and track job applications, store materials (e.g., resumes, notes, offers), manage timelines and reminders, and—if you choose—connect third-party accounts (e.g., calendar, email, cloud drive) to enhance automation and convenience.
B. Improving the Services
We continuously develop, test, and improve features to enhance reliability, performance, and usability. We may add or remove features, modify limits, change interfaces, or discontinue parts of the Services. If a change materially reduces core functionality you rely on, we’ll provide reasonable advance notice (unless urgent for security, legal, or operability reasons) and offer a reasonable way to export your content where feasible.
C. Software & Updates
The Services may include client-side or server-side software that may update automatically. Updates are intended to improve performance, security, and functionality. Some settings may let you control automatic updates, but certain security or critical updates may run regardless.
D. Support
We offer reasonable self-help documentation and email support at support@statusflow.ca for users and receive community/knowledge-based support where available. We do not guarantee response times unless otherwise stated in a separate agreement.
A. Follow These Terms & Applicable Laws
Your permission to use the Services is conditioned on your compliance with:
B. Acceptable Use (Don’ts)
To protect users and the platform, you must not:

A. Your Content
You may upload or create content such as job records, tasks, notes, attachments, profile data, reminders, and metadata from connected accounts (collectively, “Your Content”). You retain ownership of Your Content.
You are responsible for backing up Your Content. We recommend exporting your data regularly using available export tools or upon request to privacy@statusflow.ca
B. License to StatusFlow (Limited Purpose)
Solely to operate, provide, secure, and improve the Services (including to host, store, transmit, display, modify for formatting, index for search, and create non-identifying aggregates), you grant StatusFlow a worldwide, non-exclusive, royalty-free, sublicensable (to service providers) license to use Your Content only as necessary for those purposes.
We do not sell Your Content, and we do not publicly display it except at your direction (e.g., when you share or collaborate).
C. Feedback
If you provide ideas, suggestions, or feedback, you grant us a perpetual, irrevocable, worldwide, royalty-free license to use them without restriction or obligation to you.
You can choose to connect third-party services (e.g., Google or Microsoft for calendar/email; cloud storage; ATS/job boards). Each integration is optional and may require specific permissions. We request the minimum scopes needed.
Our Privacy Policy explains what data we collect and why, how we use it, and your choices. By using the Services, you acknowledge that we will process your information as described there.
The Services, including software, user interfaces, designs, logos, databases, know-how, and documentation, are owned by StatusFlow or our licensors and are protected by IP laws. Except for rights expressly granted, we reserve all rights. Do not remove or alter proprietary notices or branding.
Open-source components provided with the Services are licensed under their respective licenses, which may expressly override portions of these Terms for those components.
From time to time, we may offer beta, preview, or experimental features (“Beta Features”). Beta Features:
The Services and outputs (including analytics and AI-assisted insights) are for informational purposes only. They are not legal, financial, employment, immigration, or other professional advice. You are responsible for verifying decisions related to your job search.
We may modify, suspend, or discontinue parts of the Services to maintain security, comply with law, or improve functionality. We aim to schedule planned maintenance at low-impact times. Backups and redundancy are implemented on a commercially reasonable basis, but uninterrupted availability is not guaranteed.
These Terms remain in effect until terminated by you or us:
Upon termination:
If we reasonably believe Your Content or conduct:
we may remove or restrict content, limit features, suspend or terminate access, and/or contact authorities where appropriate. Unless prohibited by law or operational risk, we will provide notice and a chance to appeal by contacting privacy@statusflow.ca
We provide the Services using reasonable skill and care. Other than as expressly stated in these Terms (and except where prohibited by law), the Services are provided “as is” and “as available.” To the maximum extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, non-infringement, and quiet enjoyment. We do not warrant that the Services will be uninterrupted, error-free, or secure, or that they will meet your needs.
In jurisdictions that do not allow limitations on implied warranties, these disclaimers apply only to the extent permitted by law.
Nothing in these Terms excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or other liability that cannot be excluded by law.
Subject to the foregoing and to the maximum extent permitted by law:
Some provinces/territories (e.g., Québec) do not allow certain limitations or exclusions; in those places, the above applies only to the extent permitted by local law.
If you use the Services for business or on behalf of an organization, you will defend, indemnify, and hold harmless StatusFlow and its affiliates, officers, directors, employees, and agents from and against any third-party claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising from or related to:
(a) Your Content; (b) your or your end users’ use of the Services in violation of these Terms or law; or (c) any actual or alleged infringement or violation of third-party rights by you or Your Content. This indemnity does not apply to claims caused by StatusFlow’s gross negligence or willful misconduct.
If you are a public or intergovernmental entity with legal immunities that prevent indemnification, this Section applies only to the extent permitted by law.
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada applicable therein, without regard to conflict-of-law rules. The parties submit to the exclusive jurisdiction of the provincial and federal courts located in Toronto, Ontario, and waive any objection to inconvenient forum, except where applicable law requires otherwise.
Where required, you may also have recourse to your local courts and mandatory local laws. The controlling language of these Terms is English.
You represent that you are not located in, under the control of, or a national or resident of any sanctioned country or on any restricted party list. You will not export, re-export, or transfer the Services in violation of Canadian, U.S., UK, EU, or other applicable export control or sanctions laws.
We may send you service announcements, administrative messages, and other information related to your account or the Services. You consent to receive electronic communications and agree that such communications satisfy any legal requirements for written notices. You can manage non-essential communications via in-product settings where available.
We may update these Terms to reflect changes in our Services, business, or law. If changes materially affect your rights or obligations, we will provide reasonable advance notice (unless urgent for legal/security reasons). If you do not agree to the updated Terms, you should stop using the Services and (if desired) close your account and export your data. Continued use after the effective date constitutes acceptance.
